Use this hub to complete your exhibitor forms, upload your materials, and prepare for the event.
Provide a Video Message
Please send us a short video clip highlighting your involvement in the event, so we can share it with our networks!
What works well?
A short clip of you saying, “Hello, I’m [Name] from [Organisation] and we’re attending the [It’s Your Swansea Exhibition and Forum on 12th March]! Come and talk to us about [solutions, topics, themes]!”
Set-Up and Logistics
Access & Arrival
Enter via the Stage Door, accessed from the Arena Car Park (behind the building).
Please do not use the main public entrance for setup.You’ll be met by a 4theRegion team member who can direct you to your stand.
- Exhibitors may arrive to set up between 3pm-5pm the day before, or between 8am-9:30am on the day.
- Exhibitors are requested to attend the Opening Session which starts at 9.30am in the Upper Auditorium. The Exhibition Hall then opens to attendees from 11am-5pm.
Parking Information 🅿️
Arena Car Park: £25 for all-day parking (closest option).
St. David’s Car Park (opposite Arena): £5 for a full day (recommended).
City Gates / Wind Street NCP Car Park: £12 for the day.
If you’re unloading heavy items, please unload at the Stage Door first, then move your car to one of the nearby car parks.
End of Day
The exhibition closes at 5:00pm.
Please don’t start packing away before this time, it’s demoralising for visitors and other exhibitors.
Your Stand
Please note that we are NOT providing shell scheme at this event, all stands will be table stands. View the floorplan.
Table-Only Spaces (2m)
1 trestle table + 2 chairs
No booth or shell scheme provided
Please bring your own tablecloth and any display materials.
Power & Equipment ⚡
There is an additional £30+VAT charge if power is required. This must be requested by contacting amanda@4theregion.
Please ensure any electrical equipment you bring is PAT-tested and safe for use.
If you are bringing machines or equipment (eg TVs, computers) please download and return the Power Request form for Swansea Arena:
